Common Questions

Your questions on field contractor payment software, answered

What features of contractor payment software are most important to commercial teams?

If your business performs commercial work, there are a few key things you should look for in a contractor payment software:

  • Invoice Email & Linking—Email invoices to customers with a one-click payment link to make it as simple as possible for them to pay.
  • Mobile Access—In commercial work, closing out the job is more important than ever to keep your receivables lower and keep projects flowing. It's an extremely powerful way to unlock cashflow faster when techs can collect signatures and payments right on-site to close out work.
  • Bidirectional Sync with Integrated Tools—If you use QuickBooks, Sage, Intacct, etc. and need that data to integrate with your field service management platform, your contractor payment software needs a bidirectional data sync that means when data is updated in one tool (like a payment applied), it is automatically updated in the other. No more duplicate data entry.
  • Advanced Reporting & Dashboards—Commercial work requires the ability to look at the smallest data point all the way to the big picture. In BuildOps, you can build your own reports using every single data input in the platform. Your financial dashboards, your way.
  • AI-Powered Financial Insights—Need to know which customers are the most overdue on payments? Or which projects might be at the biggest risk? OpsAI can flag things like that for you.
  • Built-in Financials & WIP Reporting—Protect margins for projects with real-time tracking of assets, project spend, project progress, timelines, and more, so you never end up surprised and over budget.

How does field service payment software reduce billing time to customers?

The main way a field service payment software reduces billing time is the method by which field technicians can close out work faster, which means invoices go out faster. When techs can immediately get an invoice out, or even collect signatures and payments on the job, invoices go out much faster.

In a field service payment software like BuildOps, these key features enable billing to customers faster:

  • Field techs work through custom workflows step-by-step that confirm work done
  • Field notes done by techs then can automatically become customer-ready invoice summaries that confirm work done instantly
  • Techs can even attach photo or video proof when necessary that can be shared with the customer, which brings greater confidence to customers making payments quickly
  • All this can be done before the tech leaves the jobsite, so they can collect signatures right in their mobile app to close out the job
  • Finance can then send the invoice almost immediately with no extra manual work
  • Payments sends the invoice over email and customers can even pay the very same day

How does contractor payment software lower Accounts Receivables and unlock cashflow?

Contractor payment software lowers Accounts Receivables amounts and unlocks cashflow faster by automating previously manual parts of billing so invoices can actually be sent out faster, which means they get paid faster. Additionally, when contractor payment software has features like photo and video proof of work or detailed field notes attached to invoices, customers have much greater confidence in what they are paying for, so they are less likely to question the amounts or the work done before paying. And finally, when payments are enabled as part of your software, you offer the customer a quick and easy way to pay over email, which helps them actually send the money faster.

Our research asking hundreds of top contractors across North America shows a direct connection to getting paid faster when you send invoices out faster. We saw that businesses that wait more than 20 days to send an invoice see a steep increase in the time it takes to get paid, adding as much as 30 days to their payment cycle. Integrating a contractor payment software into your tech stack is the best way to quickly reduce AR and unlock cashflow faster.

That’s nice, but do you have any proof that BuildOps customers have seen positive results like this?

Of course we do! Our intuitive invoicing helps automate so much of this work that BuildOps customers have seen direct impacts on their billing and payments cycle. Here are some examples:

There’s a clear reason that scaling commercial field service businesses choose BuildOps to help with invoicing and payments.

What payment methods can my customers use with BuildOps Payments+?

Customers can pay by credit card (Visa, Mastercard, Discover, Amex) or ACH through a Pay Now link. Your team can also collect payments over the phone or in the field via the mobile app.

How does BuildOps Payments+ sync with my accounting?

When a customer pays, BuildOps auto-creates a payment record and applies it to the invoice. For QuickBooks, Intacct, and NetSuite, that record syncs directly. No manual duplicate data entry required.

How quickly do funds hit my bank account in BuildOps Payments+?

Card payments deposit in two business days. ACH settles in three to five. Batches close daily at 5 PM ET, and your team can track every deposit through real-time transaction reporting.

What does BuildOps Payments+ cost, and can I pass fees to customers?

No monthly fee. You pay per transaction.

In regards to the platform fee structure, you have 3 options:

  1. Absorb Fees (Both) - 2.9% + $0.30 per transaction for card (3.25% + $0.30 for AMEX), and 1% (capped @ $10) per transaction for ACH. Platform fees are withdrawn & a statement is sent at the end of the month from Payabli.
  2. Pass Through Fees (Both) - 3.25% + $0.30 per transaction for card, and 1% (capped @ $10) per transaction for ACH. Customer pays the platform fee at the time of transaction, direct to Payabli.
  3. Hybrid - Pass through fees @ 3.25% + $0.30 per transaction for card, and absorb @ 1% (capped @ $10) for ACH transactions. Platform fees are withdrawn & a statement is sent at the end of the month from Payabli. If you start processing with one structure, and then want to switch, this change can be made on the first of the following month.

Can my techs collect payments from the field using BuildOps Payments+?

Yes. Techs collect card or ACH payments on-site via the BuildOps mobile app. The payment links to the invoice and appears in the office instantly without callbacks or double entry.

What makes BuildOps Payments+ different from standalone processors?

Payments+ is embedded in BuildOps, not a separate tool. Every payment ties to the job, invoice, and customer. No double entry, no disconnected systems, just one place to manage AR.
